1. Getting started

ViewerFree account for connected sailing history and voyages where you participate as crew.
CreatorCreate and manage voyages, crew, logbook information and certificates.

Create an account

  1. Open Register and choose Viewer or Creator.
  2. Enter your name, email and password.
  3. Accept the Terms of Service and acknowledge the Privacy Policy.
  4. Confirm your email using the verification link SeaMiles sends you.
  5. Log in. Your dashboard is the starting point for your sailing history.
Invitation: If you received a crew invitation, use the same email address as the invitation so SeaMiles can link the crew record to the correct account.

2. Viewer and Creator

Viewer

  • Free account.
  • View voyages connected to you as crew.
  • Keep your connected sailing history in one account.
  • Receive relevant activity information and invitations.

Creator

  • Create and edit voyages.
  • Create and manage crew records.
  • Add route legs and logbook entries.
  • Assign onboard roles and create certificates.
  • Optionally allow Creator crew members on a voyage to edit or delete it.
New Creator subscriptions currently include a 14-day free trial. After the trial the price is €4.99/month unless cancelled.

3. Dashboard

The dashboard summarizes your trips, nautical miles, days at sea, visited places and crew connections.

  • My Trips: open an existing voyage or, as Creator, create a new one.
  • Crew: Creator accounts can open the Crew Manager.
  • SeaMiles Account: profile, password, subscription, activity emails and Support.
  • Since your last visit: shown when relevant new activity exists.

4. Crew management

Creator accounts can keep a reusable crew list. A crew record is historical sailing identity, separate from an account login.

  1. Open Manage Crew from the dashboard.
  2. Choose Add crew member.
  3. Enter first and last name. Email is optional.
  4. Save the crew member. If an email matches a SeaMiles account, the record can be linked to that account.

Managed by

If a crew record is linked to a SeaMiles account, SeaMiles shows who currently manages that identity. Historical names in past voyages are not replaced just because the account profile later changes.

Deleting crew

A crew record can be deleted only when SeaMiles considers it safe to do so - for example, it is not linked to a SeaMiles account and not used on a voyage.

5. Create a voyage

  1. From the Creator dashboard choose New Trip.
  2. Enter the voyage name, start/end dates and optional start/end locations.
  3. Add vessel information such as vessel name, type, year, flag, cruising area, owner and charter company where relevant.
  4. Add crew members. Existing crew are suggested; new people can be created from the voyage form.
  5. Select exactly one skipper from the voyage crew. The skipper does not need a SeaMiles account.
  6. Add route legs and logbook entries if required.
  7. Choose the distance method and save the voyage.
Voyage owner: The person who creates the voyage remains its owner. The skipper may be a different person.

6. Route legs and nautical miles

Use route legs to break a voyage into meaningful sections.

  • Each leg can contain from/to locations and optional distance.
  • Legs are kept together with related logbook entries in the timeline.
  • You can enter a total voyage distance manually or calculate the total from the leg distances.
  • If leg distances are incomplete, use the manual total-distance option.

Shared GPS recordings

Authorized Creators can deliberately share a completed GPS recording with a saved route leg. Several sailors may record the same leg; SeaMiles keeps every recording separately with its author and its own track ID.

  • Voyage editors can open Recordings under a route leg and compare the available tracks.
  • Exactly one recording can be selected as the primary track for a leg. SeaMiles never selects one automatically.
  • Only primary tracks contribute to the separate Shared GPS distance, so two sailors recording the same leg do not double the miles.
  • The normal voyage distance remains independent and is not overwritten automatically.
  • Pauses and GPS gaps stay separate segments and are not connected by an invented line.
Documentation only: Shared GPS tracks are not navigation routes and must not be used for collision avoidance, voyage planning or safety decisions.

7. Onboard logbook entries

Choose Add logbook entry from the voyage form or a saved voyage.

The entry can contain:

  • time and position
  • course and speed when available
  • wind direction and wind strength
  • weather and sea state
  • propulsion and sails
  • route-leg assignment
  • event or free-text note
Important: Browser position/course/speed data may be inaccurate, delayed or unavailable. SeaMiles is a documentation service, not a navigation or safety system.

8. Onboard roles and certificates

Assign roles

  1. Open a saved voyage.
  2. Choose Assign roles to crew.
  3. The voyage skipper is controlled by the skipper selection in Edit Trip.
  4. Assign additional onboard functions to other crew members as required.
  5. Save the roles.

Create certificate

Choose Create certificate, select a crew member with an assigned role and create the certificate PDF. Where relevant, a skipper signature can be entered in the certificate dialog.

9. Shared editing and voyage permissions

The voyage owner can enable Allow Creator crew members to edit or delete this trip. When enabled, Creator accounts who are actually part of the voyage crew may receive edit/delete permission. Other crew remain read-only.

Sharing precise GPS recordings

Track sharing is deliberate: a completed recording is uploaded only when an authorized user chooses to share it with the voyage. Authorized voyage members who can view the voyage can then see the precise recorded positions and timestamps. This first stage does not provide a public link or live crew tracking.

If a route leg with recordings is removed, its recordings are retained as archived voyage history and are no longer eligible as primary tracks. Deleting the voyage removes its shared track data. Contact Support for privacy or deletion requests that require individual review.

Crew participation never changes the original voyage owner. Creator status alone does not grant access to another person's voyage.

10. Activity and email notifications

Since your last visit

When relevant activity has happened since you last acknowledged the summary, SeaMiles can show an in-app window containing personal voyage changes plus aggregated sailing-network and community activity.

Activity emails

Open SeaMiles Account → Activity emails and choose:

  • Weekly summary - recommended default.
  • Daily summary.
  • Off - no digest emails.

Immediate notification emails can be controlled separately for being added to a voyage and being assigned as skipper.

11. Account, profile and subscription

Personal data

SeaMiles Account allows you to update your name and optional nautical qualification/radio certificate number. Your email address is the SeaMiles account key; contact Support if it needs to be changed.

Password

Use Change Password in SeaMiles Account. If you cannot log in, use the Reset Password option on the login page.

Creator subscription

  • During the 14-day free trial, cancellation prevents the first Creator subscription charge; Creator remains available until trial end.
  • After the trial, cancellation is scheduled for the end of the current paid billing period.
  • If cancellation is scheduled, Keep Creator subscription can withdraw it before the relevant period ends.
  • When Creator ends, the account continues as Viewer; existing sailing history is retained.

12. Troubleshooting and Support

I cannot see a voyage I sailed on

Check that the crew record is linked to the same email as your SeaMiles account. If an invitation used another email address, ask the Creator to correct the crew record and resend the invitation.

GPS is unavailable

Allow location access in the browser/device. If location is unavailable, you can still save the remaining logbook fields manually.

I cannot edit a voyage

Only the owner or an authorized Creator crew member can edit/delete a voyage. The owner must enable shared Creator edit/delete permission.

I cannot delete a crew member

SeaMiles prevents deletion when the person is linked to an account or is already part of voyage history.
